Knowledge Bases
Tier access: PREMIER — Part of the Agentic AI module, gated to Premier.
Overview
Knowledge Bases are the documents your AI agents search to answer accurately instead of guessing. Each knowledge item is a single Source — one document per source — with its own card, its own details page, and its own sync status. You can keep separate sources for different brands, products, or topics.
You reach them from Agentic AI → Knowledge Base in the left navigation sidebar.
What's on this page
Area | What it gives you |

Adding a source
What it does: Select New Source to add knowledge. You choose between a File source (upload a document) or a Shopify source (ingest a store's product catalog).
File sources
How to use it:
Select New Source → File.
Enter a name and an optional description.
Upload a file — Text (.txt), CSV (.csv), PDF (.pdf), or Excel (.xlsx, .xls).
If the file is a spreadsheet, configure Smart Config (see below), and set Results per search (Top K) to control how many matches feed each answer (1–15, default 5).
Select Create source to land on the source's details page.
Structured sources can also be kept fresh automatically: instead of a one-off upload, point a structured (spreadsheet) source at an online spreadsheet URL and it will re-sync on a schedule, so your agents always work from the latest data.
Smart Config for spreadsheets
What it does: When your source is a spreadsheet (CSV or Excel), Smart Config lets you tell the agent how to use each column, so it searches the right fields instead of reading the whole sheet as plain text — giving more accurate answers using fewer tokens.
How to use it: Assign each column a role:
Search — text columns customers describe in natural language (e.g. Product Name, Description).
Match — filter on a set of values (e.g. SKU, Category, Status).
Range — numbers or dates for amount/time ranges (e.g. Price, Quantity, Available From).
Readonly — details to include in answers but not search or filter on (e.g. Image URL, Warranty Terms).
Ignore — internal or noisy columns the agent should not index or return.
At least one column must be marked as Search before you can save the source.
Shopify sources
What it does: A Shopify source ingests your store's product catalog directly from its products.json feed as a structured Smart Search source — so agents can answer product questions and make recommendations from your live catalog.
How to use it:
Select New Source → Shopify.
Enter a name and optional description.
Paste the store's full products.json URL (it must end in
/products.json).Adjust the source settings if needed — use product type as a filter, append UTM tags to product links, use variant price as a filter, or exclude out-of-stock products — and set Results per search (Top K) to tune how many matches the agent uses per answer (1–15, default 5).
Select Create source.
Managing a source
What it does: Each source has its own details page where you can update its name and description, sync it on demand, and manage the underlying file.
How to use it:
Select Manage on a source card.
Use Sync Now to re-index the source so its latest content is searchable.
Use Skip to exclude a structured source from scheduled syncing without deleting it — the source and its index stay in place, and you can un-skip it later to resume syncing.
Use Actions to Replace the file, Download it, or Delete the source.
Tip: A source marked Requires Sync won't reflect its newest content until you sync it. Syncing is automatic and resilient — it retries on its own if something goes wrong, and your workspace stays responsive while a source is processing.
